Policy 62: Ellis Library Rental Lockers

University of Missouri Libraries

General Policy Manual Policy No. 62

Ellis Library Rental Lockers

  • Scope of Policy
    • This policy establishes guidelines for the assignment and administration of rental lockers located in Ellis Library.
  • Purpose of Policy
    • The purpose of this policy is to ensure that lockers are available for use by the University of Missouri (MU) community on an equitable basis.
  • Eligibility and Assignment of Lockers
    • Only those with an active affiliation with the University of Missouri will be eligible for use of a locker.
    • Lockers will be assigned by the designated locker administrator in the Library Administration office. This individual will seek consultation from the library fiscal officer as needed to ensure fair and equitable usage of the lockers.
    • Lockers will be assigned according to the following priorities:
      • First priority will be current MU students.
      • Second priority will be current MU faculty and staff.
      • Third priority will be other individuals with an active affiliation with the University of Missouri. These will be considered on a case by case basis.
    • Within each priority, lockers will be assigned on a first come, first served basis.
    • Upon each re-assignment of a locker, the lock will be changed. Locks will also be changed at the request of the locker occupant.
  • Length of Usage
    • Once assigned, a locker will remain assigned to the individual until one or more of the following criteria are met:
      • The individual voluntarily vacates the locker.
      • The individual's term of rental expires.
      • The individual's affiliation with the University of Missouri is terminated or otherwise ends.
      • The individual leaves the physical location of the University of Missouri for a period of longer than one semester (such as working/researching abroad).
      • The locker administrator is unable to make contact with the individual assigned to the locker after at least two attempts spanning a period of at least thirty days.
      • As determined by the locker administrator, the Library has good cause to terminate the usage of the locker (such as failure to follow established guidelines, remodeling of physical library spaces, etc.).
    • If the occupant meets one of above criteria, the lockers will be cleared out and reassigned, any contents left in the locker will be stored by Ellis Security.
    • Occupants of lockers may be asked to switch or relocate lockers at the discretion of the Library.
    • Lockers must be renewed or vacated at the end of the rental period. Lockers may be renewed multiple times, as long as the occupant still meets the criteria established in "Eligibility and Assignment of Lockers".
  • Application Procedures
    • Those desiring to utilize a locker will complete an application as maintained by the locker administrator.
    • Those desiring to renew the usage of a locker will complete a renewal form as maintained by the locker administrator.
    • Applications will be accepted at any time throughout the year.
    • The locker administrator will maintain a waiting list, ordered according to the priority list previously stated, for locker usage in the situation that there is not an available locker at the time of application.
  • Fees
    • The following fee structure will be utilized with the Ellis Library lockers beginning January 1st, 2017:
      • Small Locker
        • Six-month rental: $10.00
        • Twelve-month rental: $20.00

    • The following fees may be assessed to the occupant(s) as needed at the discretion of the Library:
      • Lock replacement
      • Repair or maintenance (to be assessed in situations where damage is a direct cause of the actions of the office occupants).
    • Rental fees will, in general, not be refunded. Refunds will be considered on a case by case basis by the locker administrator and the library fiscal office upon the request of the locker occupant.
  • Guidelines for Usage of Lockers
    • Any library books and journals stored in the locker must be properly checked out in the locker occupants name. Any other Library materials will be returned to the appropriate desk or library department.
    • The Library reserves the right to inspect lockers in search of materials that are not checked out or for any security concerns.
    • The Library is not responsible for the loss of any valuables or personal effects left in lockers.
    • Perishable food or open food is not allowed to be stored in lockers and will be removed.
    • Only the assigned lock will be used, and it will be used only on the assigned locker. Ellis Security or the locker administrator will give notice to the occupant if there is an illegal lock on a locker. If the illegal lock is not removed by the notice date, Ellis Security or the locker administrator will remove the lock and the locker contents.
    • Occupants of lockers will sign the locker guidelines as part of their application to be kept on file by the locker administrator.
  • Appeal Procedure
    • Appeals to actions taken by the Library with respect to enforcement of this policy, or the assignment of lockers should be made in writing to the library fiscal officer.
