Policy 17: Faculty Study Rooms

University of Missouri Libraries

General Policy Manual Policy No. 17

Faculty Study Rooms

  • Scope of Policy
    • This policy establishes guidelines for assignment and use of the 31 faculty study rooms in Ellis Library.
  • Purpose
    • The purpose of this policy is to make the Library’s study rooms available to faculty on an equitable basis.
  • Eligibility and Length of Assignments
    • Only full-time and emeritus faculty members of the University of Missouri are eligible for study rooms.
    • All applicants for faculty studies should indicate their reasons for requesting a study (e.g. work on a book or article which requires extensive use of library materials), as well as the length of time the study room will be needed. Application forms are available in the Library Administrative Office.
    • Study rooms are generally assigned for periods of up to one year. However a limited number of rooms will be designated for short-term use (i.e. one semester or less). Use of study rooms for periods longer than one year will be permitted only in exceptional circumstances.
  • Application Procedures
    • Faculty should request study rooms by letter to the Library Administrative Office, or by means of an application form.
    • A $10 key deposit is required when each study room is assigned. The deposit will be refunded upon return of the key.
    • All assignments are made by the Library Administrative Office.
    • A waiting list will be maintained and will determine the order in which faculty will be considered for studies.
  • Guidelines for Use of Studies
    • No library materials are to be kept in study rooms unless they have been previously checked out. Materials which are not properly charged will be removed.
    • Library material which is no longer needed should be returned to the appropriate desk or subject library so that the record of the loan may be canceled.
    • The use of the study by anyone other than the assigned faculty member must be approved by the Library Administrative Office.
    • Normally, studies will be shared by two faculty members.
    • Study room keys may not be duplicated or distributed for the use of individuals other than the faculty member to whom the study is assigned.
    • Smoking is not permitted.
    • The Library is not responsible for the loss of any valuables or personal effects left in study rooms.
  • Appeal Procedures
    • Appeals to actions taken by the Library with respect to enforcement of this policy, or to the assignment of study rooms should be made in writing to the Director of Libraries or to the Chair of the Library Committee.
